Without a system

If your fleet lives in a spreadsheet, you know these moments.

With a system

The bike came back scratched. Was it already there?

Ana picks up #004 at 9:12 am. The team goes down the list and marks on the diagram what the bike already has. Mark it yourself: it's the same diagram as in the system.

Who built it

Built by someone who rents bikes every day

For more than 3 years I've managed a fleet of about 100 bikes for a renowned high-end bike maker in Piedmont, northern Italy. We rent to private customers and to our own cycling tour company.

I know this routine from the inside. I mapped every need, every bottleneck and every problem, and swapped the Excel spreadsheet for this system: months of development, and it keeps being updated.

Each dot is a day the system changed, like a cyclist's training log: the bigger it is, the more went in. It's all here, fixes included. New features arrive switched off. You turn them on when you want, in Settings.

  • ImprovedA bike can have any size

On the bike's record, under Other size, whatever your fleet uses works: 49, 55, XXL, S/M. In the import spreadsheet too. A new size shows up on its own in the filters, the fleet chart and the booking forms. The sizes you already use don't change.

  • ImprovedOn the phone, the rentals list starts from today

The rentals list opens on those that haven't ended yet; right below come the ones already ended, most recent first. Rentals, checklist history and fleet now load a little at a time: 30 at once, and the next ones arrive by themselves as you scroll. Search and filters still cover the whole list. Nothing changes on the computer.

Human support, and your request becomes a feature for everyone

What it does

Everything that happens to a rental bike, on record.

A complete dashboard

Revenue and average rental value for the period, total and per-rep sales, your most-rented sizes and a calendar with every rental.

Drag to spin · click a screen to see it in full

  • A complete dashboard — Revenue and average rental value for the period, total and per-rep sales, your most-rented sizes and a calendar with every rental.
  • Bookings and a rental map — Build each rental with the customer, tour, bike and drop-off location, then follow it all on a timeline by tour, delivery and return days included.
  • A fleet you can see — Every bike with its photo, components, size, service history and past rentals. A bike in for service can't end up in a booking by mistake, and when you renew the fleet, the sale catalog of the used bikes is ready, with photos and prices.
  • The bike record, part by part — Every component of the bike on the diagram: click a part to view or change it. Build and cost live on the same record, and the check-out and check-in lists print on a single page.
  • Groups and sign-up links — Every tour with its groups. One link per group: participants sign up on their own, in any of the six languages, and the agreement comes out ready to sign.
  • A form for your riders — Pedals, bike computer mount, measurements and the rider's current bike stay on file. Next booking, it's all already there.
  • Who sells, and how much — Every seller on your team and every partner, with sales, value, the customers they brought in and their commission. Each partner gets a portal to add their own customers, and anyone who leaves is deactivated, not deleted.
  • Short of bikes? Ask the network — Ask the other shops in the network for the bikes you're missing on a busy date. They only answer whether they have them: nobody sees anyone's fleet or customers.
  • Your way, in Settings — Brand, currency, opening hours, bike types, prices, extras and insurance, deposit, online booking and the rental agreement: each shop sets up the system itself, without asking anyone.
  • Who changed what, and when — Every record created, changed or deleted is logged with who did it, when, and the before and after. Filter by type, action, person or date, and see even what was deleted.
How it works

From the booking to the customer coming back

The path every rental takes — and what your team stops doing by hand.

  1. The customer books

On your page, with your brand. They see the bikes that are really free on those dates, pick size and extras, and the request lands in your team's queue.

  2. The deposit is held

The amount is held on their card and only charged when your team confirms. The money goes straight to your account, with no commission to anyone.

  3. They sign the contract

Your contract, already filled in with the rental data. The customer reads and signs on their phone, with a finger, before reaching the shop.

  4. The bike leaves with a checklist

At handover, the team goes down the list — tyres, brakes, derailleur, fit, bolts — and marks every existing scratch on the bike diagram. The customer signs off on the bike's condition, as with a rental car, and who checked it stays on record.

  5. The return frees the bike

The return checklist closes the trip and puts the bike back on the calendar. On the diagram, what appeared during the rental stands apart from what was already there.

  6. The customer comes back

A thank-you asking for a review, a coupon for next time, and loyalty counted on its own. Before the season, the invitation to come back goes out on its own, and when they book, their details are already there.
